A church, mosque or association registers with CAC as incorporated trustees. The fee and the steps are covered elsewhere. Here is what the paperwork itself needs to contain.
The governing document every application needs
Every application needs a constitution, or rules of the association. This sets out why the group exists and how it is run.
It usually covers the group's objects, how trustees are appointed and removed, and how meetings are called. It should also say what happens to any property if the organisation ever winds up.
Church and mosque boards often adapt an existing constitution from a denomination or an umbrella body. Whichever you start from, name your own organisation and your own trustees in it. Do not leave a template's placeholder names in place.
Details CAC wants on each trustee
CAC records each trustee on their own, not just the organisation as a whole. It asks for a full name, an address, an occupation and a means of identification for each one.
A company gives similar detail about its directors and shareholders. See director and shareholder details CAC needs for that comparison.
List every trustee the same way across every document in the application. A name spelled two different ways is a common cause of a query.
Proof of the proposed address
CAC wants evidence of the address the organisation will operate from. A tenancy agreement or a recent utility bill both work for this.
A shared or borrowed address is common for a new congregation. It has not always secured its own building yet. Use whatever paper you actually have, as long as it matches where the group really meets, and update CAC later once a permanent address is secured.
Minutes appointing the trustees
Most applications include the minutes of the meeting that appointed the trustees. The congregation, the members or the founders usually make that appointment.
These minutes tie the named people to a real decision by the group. They are not just a list drawn up alone by whoever is filing the paperwork.
Passport photographs and identification
Each trustee usually supplies a passport photograph with their identification. Keep the format consistent with what your filing agent or CAC's portal asks for.
A photograph in the wrong format is a small thing. It can still hold up an otherwise complete application, so check the required size and background before you submit rather than after a query comes back.
Once every document is gathered and kept consistent throughout, registration follows the same steps as any other incorporated trustees application.
