A returning applicant is not starting from zero. Here is what PenCom's own guide lists for a renewal.
The one item only a renewal needs
PenCom's e-certificate guide lists the company's compliance certificates for the last 2 years as a renewal-only item. A first-time applicant has no earlier certificates, so this line only applies once you already hold one.
Keep a copy of every certificate PenCom issues you. It is easy to lose track of an expired one.
The rest of the renewal list
The guide lists the same core items as a first application:
- Your CAC certificate.
- The staff list as registered with your pension fund administrators (PFAs).
- Group life insurance details.
- Evidence of payment.
- The contribution schedule.
Your staff list should show starters and leavers since last time. PenCom's general requirement also asks for evidence of remittances for all employees for the last 3 financial years, so keep that record complete.
Why this is a yearly task
The certificate expires 31 December of the year it is issued. That one rule puts anyone who needs a current certificate back at this checklist every year.
The expiry is not one year from issue. A certificate issued in October and one issued in February can expire on the same day. How long a PenCom certificate is valid explains the effect.
Timing the renewal to your tender calendar
Tender invitations list the PenCom certificate as valid until 31 December of the bidding year, so an expired one will not meet that wording. If your business bids on tenders regularly, treat the certificate as a standing renewal on a fixed cycle.
Put the expiry date next to your other tender certificates on one compliance calendar. Do not rely on checking PenCom's portal from memory each time. If you hold certificates from earlier years, store them together, newest first, so the renewal file is one folder and not a hunt.
A simple renewal routine
- Diarise the expiry date, and set a reminder well ahead of it.
- Pull out the certificates you held before.
- Update the staff list as registered with your PFAs.
- Check that your group life policy is in force.
- Gather your evidence of payment and contribution schedule. PenCom's requirement sheet asks for evidence that all outstanding contributions and penalties have been paid.
- Go to pcc.pencom.gov.ng, upload the documents and submit.
Gaps to close before you renew
- A staff list that no longer matches who is on payroll.
- A group life policy left to lapse between renewals, because nobody flagged the anniversary.
- Waiting for a tender notice before starting.
- Assuming last year's certificate still counts because a full year has not passed since it was issued.
If you have not applied before, how to apply for a PenCom clearance certificate online covers the first-time steps. For the wider pack a tender asks for, see the tender compliance hub.
